1. Introduction

This Privacy Policy (“Policy”) explains how the Agency for Sustainable and Operative Social Provision (hereinafter referred to as the “Event Organizer,” “we,” or “us”) collects, uses, discloses, and protects the personal data of users (“User” or “you”) when you visit or use the SOCGOV Portal (“Portal”).

The SOCGOV Portal is an online platform created to provide information about the International Conference (“Conference”) and to enable users to register and apply for participation.

Please read this Policy carefully to understand how we collect, process, and protect your personal data in accordance with applicable data protection laws.

 

2. Collection of Personal Data

2.1. The Event Organizer collects personal data only for legitimate purposes related to providing and improving the Portal’s services and ensuring effective communication with users.

2.2. We may collect the following categories of personal data, either voluntarily provided by you or automatically collected during your use of the Portal:

  • Personal identification data (name, surname, email address, phone number, organization, position);
  • Account information (username, registration details);
  • Geolocation and time zone information;
  • Technical information (browser type, device information, connection details);
  • Cookies and similar technologies, used for website functionality, analytics, and performance improvement.

2.3. The Event Organizer may disclose users’ personal data to third parties only when required by law or when necessary to fulfill legitimate service-related obligations.

3.1. The Event Organizer processes personal data for the following purposes:

  • Ensuring the proper functioning and security of the SOCGOV Portal;

  • Updating user account information and ensuring accuracy;

4.1. The Event Organizer may share personal data with third parties in the following cases:

5.2. The withdrawal of consent does not affect the lawfulness of data processing carried out prior to withdrawal or based on other legal grounds.

6. Cookies Policy

7.2. Such measures include encryption, access control, secure storage, and continuous monitoring of information security practices.

7.3. The Event Organizer shall be liable, in accordance with applicable legislation, for any damage caused to the User as a result of intentional or grossly negligent failure to protect data.

 

8. Data Retention and Destruction

8.1. Personal data is retained only for as long as necessary to fulfill the purposes described in this Policy or as required by law.

8.2. Upon expiration or termination of services, the Event Organizer will permanently delete or destroy personal data by:

  • Physically destroying storage media in an unrecoverable manner; or
  • Deleting data from digital systems using secure software methods ensuring irretrievability.

8.3. Before deletion, an internal review is conducted to determine whether the data must be retained for legal, recordkeeping, or operational purposes.

8.4. If no further retention is required, data will be deleted within one (1) month after the end of use.

 

9. Amendments to the Privacy Policy

9.1. The Event Organizer may revise this Policy periodically to reflect updates in legislation, internal practices, or provided services.

9.2. In the event of significant changes, users will be notified at least ten (10) days in advance via their personal account or by email.

9.3. The updated Policy shall take effect upon publication.
